Position Summary: We are currently seeking a Senior Sales and Marketing Support Specialist, where the position’s main requirements include providing administrative, and sales and marketing support. The candidate must have a hands-on approach to responsibilities that include, but are not be limited to, create, implement and track sales and marketing programs, create and track reports, file sales documentation (includes Proposals / Quotes, invoices and the like), telephone assistance to customers and sales channel partners, greet clients, schedule appointments and follow up on sales calls with Sales and Marketing, and Management Team Members.Core Position Responsibilities Assist in the creation, implementation and tracking of sales and marketing programs. Provide administrative, and sales and marketing support assistance to Sales and Marketing team members and the Management Team; producing letters, proposals / quotes, memos, reports, spreadsheets, filing and general administration. Record/input sales orders and related order entry documentation, sales meeting detail(s) and other forms of documentation into the sales information system, along with full customer details and produce/post relevant letters and statements and update office information as appropriate. Ensure the “to-date” sales sheets are completed and kept up to date on a weekly basis. Produce and maintain files, distribute copies to other departments and contractors / distributors. Produce weekly and monthly reports for the Management Team within required deadlines. Produce weekly/monthly sales forecast report spreadsheet. Liaise daily with the financial / accounting department regarding sales issues. Produce/amend standard sales and installation-related forms for use on site and in the office to assist the sales team (and other departments as required). Ensure that all documentation is up to date. Keep stock, and order materials and stationery. Produce and collate all relevant information for inclusion in a variety of Sales Reports. Take telephone inquiries from prospective customers regarding both forthcoming and existing sales opportunities, utilizing a database (including Dynamics), produce mailings as requested. Input customer inquiries into the marketing system. Liaise with sales team and distributors and ensure they receive relevant copies of letters, price lists, memo’s, reports and standard forms by fax, mail or email regularly. Depending on departmental structure, notify Finance / Accounting department (including Purchasing) of new pertinent details and changes to existing customers to update the customer files without delay. Assist sales management with other marketing coordination duties, including changes / updates to the company website and trade show coordination and setup. Ensure familiarity with company’s policies and procedures and always comply with company policies, procedures and instructions. Contribute to improving the business and enhancing the reputation of the company by putting forward new ideas and by implementing change when requested to do so. Assembles consumer rating reports by compiling, consolidating, formatting, and summarizing information, graphs, and presentations. Update competitor database by inputting data from field sales; compiling, consolidating, formatting, and summarizing information, graphs, and presentations; distributing reports. Support sales presentations by assembling quotations, proposals, videos, slide shows, demonstration and product capability booklets; compiling account and competitor analyses. Prepares mailers and brochures by formatting content and graphics; arranging printing and internet packages. Maintain marketing library by checking and replenishing inventory. Provides marketing tracking and research information by collecting, analyzing, and summarizing data and trends. Skills The Sales and Marketing support specialist must be able to multitask and prepared to manage a wide variety of responsibilities that can change on a daily basis. Sales support often acts as the link between the salesperson and client. Many duties are performed that save salespeople valuable time and will help improve sales performance. The Sales and Marketing Support Specialist must be professional, organized, flexible, and work well alone or as a member of the Team. She/he should possess sound verbal and written communication skills and have a firm grasp of how to operate office equipment such as fax machines, computers and the phone system. The Sales and Marketing support specialist will need to be adept at typing and own a basic understanding of math. Experience / knowledge of Microsoft Office (Word, Excel, PowerPoint and Publisher) is required. Experience / knowledge of Adobe InDesign, PhotoShop, Illustrator is a plus. Experience / knowledge with website maintenance, using WordPress is a plus. Excellent communication / verbal skills are required. Competencies Teamwork, initiative, multicultural sensitivity and interpersonal communication, ability to multitask and also easily move between tasks in certain situations, self-starter, ability to follow instructions from peers, willingness to whatever it takes to meet company and customer expectations. Minimum Position Requirements A 4-year college degree in marketing, business or higher is required. The Sales and Marketing Support Specialist ideally should have 3-5 years’ experience in sales support, marketing and administration with demonstrated ability to work directly with customers. Experience with Microsoft Dynamics CRM, ERP Systems including Sage or Business Works is a plus. A solid work history must be demonstrated.
